HLGP Client Onboarding Pipeline is an end-to-end Customer Success Operations system designed to move a newly confirmed client from sales handoff to delivery-team ownership. The process combines a GoHighLevel pipeline, role-based checklists, structured handover notes, onboarding communication, internal alignment, technical setup, and a documented goals handover.
The objective was to create one repeatable onboarding path that made every client transition visible, owned, and easy to execute. The workflow was designed to reduce ambiguity between Sales, Customer Success, and delivery by defining what must happen at each stage, who owns it, what gets documented, and when the opportunity advances.

The process uses a GoHighLevel opportunity pipeline as the system of record. Each stage has a clear purpose, owner, checklist, handover notes, and Slack update so progress is visible across the team.

The process begins only after the client confirms the sale. Sales Team confirms scope and expectations during the sales or strategy call, documents priority use cases and promises shared with the client, creates the pipeline card in GHL, and adds handover notes to the opportunity card. Once the checklist is complete, the opportunity advances and a Slack update is posted with the stage and owner.
Owner: Onboarding Specialist
The client is categorized as a organisation sub-account, an existing client in another GoHighLevel agency, or a org affiliate. The category determines how the introduction is tailored, while the core onboarding checklist remains consistent. Athulya applies the appropriate client tag, sends the onboarding email with the checklist and booking link, adds handover notes, advances the pipeline card, and posts the Slack update.
